Job Description:

Administrative Service Associate / Accounts Receivable Specialist Overall Purpose : Performs all daily, monthly, and yearly functions related to Accounts Receivables. Handles daily accounts receivable actions including receipt of funds, posting of payments to customer accounts, and prepares bank deposits. Handles daily customer calls relating to accounts receivables. Performs related clerical duties. Processes all new customer information and maintains customer physical and electronic files. Handles telephone communications, greets, and provides routine information to visitors. Performs mailing and shipping processes. Actively promotes company services and products either directly or indirectly. Acts as a backup for Accounts Payable. Reports to the CFO. Essential Functions Processes certain invoices and payments in our system Accounts Payables General Expenses Manage and oversee petty cash vouchers and cash drawers' funds from the warehouses Processes incoming and outgoing packages from UPS, FedEx, and USPS Operates the Company's phone system and screens and routes calls to appropriate destinations. Greets visitors and distributes mail in the office. Maintains the office, cafeteria, and cleaning supplies inventory Serves as a backup to pick up and deliver mail to the post office Serves as a backup for Accounts Payable Inventory Qualifications Education/Experience: High school education or GED equivalent; two years office experience or alternative vocational training; accounting helpful but not required. Skills : Computer experience; type 30 words per minute; posting data and making mathematical calculations with speed and accuracy; calculator; familiarity with other office equipment including fax, copier, automated postage machine and multi-line telephone; good oral and written communications; filing; using initiative and judgment in dealing with work flow and uncertain situations; working effectively under time limitations to produce accurate results; follow verbal and written instructions; maintain effective work relations with those encountered in the course of employment. Knowledge: Correct English usage, spelling, grammar, and punctuation; modem office practices, procedures and equipment; clerical methods, techniques, forms, and filing systems used in an accounting environment. Physical Demands : Lift twenty-five or less pounds regularly and fifty or less pounds occasionally; excellent non-corrected or corrected vision; adequate hearing for conversation or heavy telephone use; ability to speak and annunciate clearly so that all can understand; able to stand and/or walk at least two hours per day. Must be able to utilize good physical agility to move and maintain (while performing task) positions of kneeling, stooping, crouching, bending, neck rotating, twisting, reaching overhead, squatting, sitting, and climbing stairs. Must be able to move and maintain position of sitting constantly. Must be able to walk, stoop, squat, bend, climb, and reach overhead, pull, twist, and balance. Licenses : Valid driver's license. Special Requirements: Willingness to use personal vehicle in the course of employment; follow, adhere to and promote all policies, rules, and regulations found in Associate Handbook and those federal and state laws pertaining to the workplace and employment.
